About the role

  • Ongoing full-time vacancy. 35 hours per week.
  • Location: Sydney CBD, with flexible working arrangements available.
  • Clerk Grade 3/4. Base salary $79,032 pa to $86,539 pa plus super and annual leave loading.

About the team

The Genealogy Unit undertakes searches in Australia and overseas to identify and locate those people entitled (as defined by the NSW intestacy laws) to share in the estate of the deceased person who died without making a Will. Research is also undertaken for the beneficiaries named in a Will who are missing or for persons falling within a class of beneficiaries described in a Will.

 

About the role

The Administrative Accounts Officer provides administrative and support services to facilitate the operation of the Genealogy Unit, including but not limited to:

  • Supporting the effective operation of the Unit by providing a range of administrative and support services, including reconciliation of accounts, creating and managing physical records and files for researchers, processing all incoming mail for the team and following up on mail not received.
  • Supporting the Senior Solicitor and Manager, Genealogy and the Principal Researcher in the completion of professional, accurate and timely monthly financial and performance reporting, enforcing internal controls, following up outstanding items and escalating complex issues.
  • Reconciling the Genealogy Unit credit card, and the NSW BDM and QLD BDM accounts, including moving the funds from the estate accounts to the holding account
  • Assisting in the collation of documents for the exhibit folder for next of kin applications, cross-checking and numbering exhibits and delivering documents to the Court as required.

About you 

To be successful in this role, you must possess the following skills and abilities:

  • Demonstrated experience in providing administrative support services such as word processing, data entry, preparing correspondence and meeting papers and minutes, maintaining electronic and file records, and assisting with meetings and events.
  • Self-driven and collaborative attitude in a human services environment.
  • Experience in and the ability to learn new applications and processes.
  • Proficient time management skills, with the ability to prioritize competing interests and meet deadlines.

Essential requirements

  • Willingness to have phone calls and team email accounts monitored for quality assurance and training purposes, and to participate in one-to-one review sessions for calls and emails.
